Why am I seeing the quarterly audit window?

At the end of each quarter, Monotype Fonts asks you to review and confirm your current production font usage. This process helps ensure your usage records remain accurate and that your organization stays compliant with Monotype’s font licensing requirements.

You can submit your report within 21 days after the end of every quarter. There will be email messages and these banner notifications on the Monotype Fonts platform to remind you about this timeline. Ensure that you submit your report within this timeline.

If you are seeing the quarterly audit window, it means that you need to submit your production font usage report for the previous quarter. Use the following steps to do that:

  1. Click Start reporting to open the Fonts for review page.

  2. Check the Fonts for review section and ensure that you haven’t missed including any fonts from the production font report.

    You can also select and accept/deny the production fonts here.

  3. Click Reviewed. The Confirmed production fonts page (for the previous quarter) displays.

  4. Click Submit report.

  5. Click Submit.

    Once submitted your report will be accessible from the Quarterly reports section of License dashboard. You (and all the company admins) will also receive the email message to notify about your quarterly report submission.

How can I limit admin users from receiving email notifications or submitting the report?

To prevent an admin user from receiving email notifications or submitting reports, you’ll need to change their role from Admin to Limited Admin.

What is a limited admin role?

A limited admin has the same permissions as a company admin, except they cannot submit quarterly production font reports and will not receive font licensing communication emails. In the font licensing section, their access is limited to reviewing and approving or rejecting production fonts. This role cannot be customised.

What does inactive in production mean?

It means that the font was used as a production font for some time in that quarter, and after that it was removed from production fonts list. And once the report is submitted for that quarter (to report the use that occurred during that quarter), that font will be removed from the confirmed production fonts list.

Why am I seeing icon on the font style?

The icon shows that you have already marked this font style for production. Click on this icon to unmark the font from the quarterly list of production fonts.

What does unique font style mean?

A font style can be synced or downloaded many times by different users within your organization on different machines depending upon the terms and conditions mentioned in your contract. So, the Sync and download count for that font is more than one. However, the count of unique font styles explored will be one.

You can view the Syncs & downloads and Unique fonts explored on the License dashboard.

For example, if Helvetica Now is synced 10 times and downloaded one time, then the Syncs & downloads count will be 11. However, the unique font styles explored count will be one.

Does this version of font licensing support font swapping?

This version of font licensing does not support font swapping. However, this enhancement (font swapping) is considered for the upcoming font licensing releases.

What does Legacy workflow refer to in the Accepted by column of Confirmed production fonts tab?

The Accepted by column shows the name of user who has confirmed the usage of the corresponding production font. However, the production fonts also include the named fonts from your contract and production fonts from the previous quarter. Since no user was onboard at the time of adding these fonts to the digital workflow on Monotype Fonts platform , we have used the term Legacy workflow to refer to these instances.

What will be the Latest Activity for the production fonts that are marked as accepted by legacy workflow?

The Latest activity indicates the date when the production fonts marked through the legacy workflow were transitioned to the digital workflow used in the Monotype Fonts platform (added on the Monotype Fonts platform).
