Font tracking and reporting helps you to ensure that you are using fonts in accordance with licensing agreements. Monotype Fonts allows you to report font usage through the quarterly utilization reports. However, using a spreadsheet to track and monitor production font usage is a complex process.
Monotype Fonts has further simplified the process of administering licensed fonts and monitoring production font usage. Now you don’t have to manually mark the fonts used in production in a spreadsheet and send the document back to Monotype.
Being the admin user, you can now easily mark, review, deny, approve, and manage the production fonts used within your organization within the Monotype Fonts Platform. The Font licensing tab under the Manage section of Monotype Fonts offers a License dashboard. This dashboard is specifically customized for you to add, review, deny, or approve the production fonts used or planned to be used within your organization.

What is a font license?
A font license (end-user license agreement or EULA) is a legally binding document authorizing you to use the font software under pre-defined conditions.
Intellectual property law recognizes copyright in font software. So, you need a license from the copyright owner to use font software. The license grants under EULAs may differ for each foundry. You should be careful not to violate the terms of the EULA to avoid legal disputes. Font licenses should be secured properly before using them.
Keeping track of which fonts are licensed for which use cases can be complex and difficult to manage. Your existing inventory may include fonts from different foundries, with different license types and EULA terms.
Monotype Fonts simplifies the process through its standard subscription model that applies to all fonts in Monotype’s library, regardless of whether the font is owned by Monotype or one of our foundry partners.

What is a production font?
A production font is a font you choose from the Monotype Fonts inventory to use under the terms of your Monotype Fonts license agreement. For example, depending on the licenses you have purchased, you may use this font to create static graphic images, on a web page, or within a software application.
A subscription to Monotype Fonts gives you and your users access to our font inventory for prototyping purposes.
Once content containing the font moves beyond the prototyping phase and you have deployed it in one of the use cases described in your license agreement, the fonts used there will be counted as production fonts.
All the production fonts (either marked or added by you) on Monotype Fonts have icon on them. You can hover over this icon to learn more about it.
Note: A font’s production font count could be more than one production font, depending on its tier type. These fonts are identified with a star icon. Hover over the star icon to learn about their tier type and production font count.

How to use the License dashboard?
Go to Manage > Font licensing to open the license dashboard.
Monotype Fonts’ License dashboard is designed to help you view and manage the production fonts used within your organization. It is an intuitive feature that enables you to view, monitor, review, track, and report your production font usage.

View all confirmed production fonts | Confirmed production fonts section shows the number of production fonts used within your organization. It also includes all the fonts approved and submitted by you out of the total available production fonts (based on your subscription/contract) in this quarter of the current year.
Click View all confirmed production fonts to open the Confirmed production fonts tab. Here you can view and manage the list of production fonts used in this quarter.

View fonts for review | Syncs & Downloads section shows the font syncs and downloads that happened in this quarter along with the total number of fonts synced or downloaded over the contract.
Unique font styles explored section shows the number of unique font styles synced or downloaded by you in this quarter and over the contract.
Click View fonts for review to open the Fonts for review tab. It shows all the fonts that are synced, downloaded, or added into web project in this quarter.
On this page, you can click Export list to download this list on your system or search for a specific font style using the Search for styles field.
You can also click Deny or Accept to deny or accept the usage of a particular font style. |
View or download quarterly reports | All the quarterly production font usage reports for the selected year are available in the Quarterly reports section.
You can select the year from the year dropdown to view the quarterly reports in the selected year.
Click Export report from the Action column to export and download the selected report or Download all reports to download all quarterly reports for the selected year. |

How do I review my production font usage?
You can review the production fonts from the Fonts for review page. Use any of the following steps to open this page:
Go to Manage > Font licensing > Fonts for review
Click View fonts for review from Syncs & Downloads or Unique font styles explored sections in the License dashboard.
Click View all fonts for review from the Recommended production fonts section in the License dashboard.
While submitting your quarterly utilization report.
This page includes the following options:

This is the default view for Fonts for review page. It indicates the list of recommended fonts that users of your account have used or accessed most frequently.
These recommendations are based on usage activities like syncing, downloading, or adding in web projects.

Source | Indicates the source of usage activity with the number of times like synced, downloaded, or web usage. For example, it will show Synced 14x, if the font is synced 14 times within your organization. |
Waiting for review | Indicates that you need to review and then deny or accept the production font usage.
Click Deny to deny the font being used as a production font in this quarter.
Click Accept to accept the font style as a production font. This will move the font from Fonts for review to Confirmed production fonts page and will also increase the count of confirmed production fonts.
The increase in production font count depends upon the tier type of the production font accepted by you. For example, if you accept a variable font then the production font count will increase by five and it will increase by one for fonts in standard tier.
Note: You can deny or accept the production font usage for the previous quarter only while reviewing and submitting the quarterly usage report in the 21 days window after the end of quarter.
Note: You will also get a chance to stop (click Stop) the font denial or acceptance process in between if you have clicked Deny or Accept by mistake. |
Explain Confirmed production fonts?
Confirmed production fonts are those fonts that you add, mark, name, accept and report as the fonts used in production after reviewing all the possible production fonts used within your organization.
You can view this final list of confirmed production fonts on the Confirmed production fonts page. Use any of the following steps to open this page:
Go to Manage > Font licensing > Confirmed production fonts
Click View all confirmed production fonts in the Confirmed production fonts section of the License dashboard.
While adding a new production font

This page includes the following options:

In production | Indicates whether a font is currently active or inactive in production. You can enable/disable it depending upon the status of the production font.
Note: If a font is inactive in production, then it means that the font was used as a production font for some time in that quarter, and after that it was removed from production fonts list. And once the report is submitted for that quarter, that font will be removed from the Confirmed production fonts list. |
How to add a new production font?
You can add a new production font from any of the following pages:
Click Manage > Font licensing > Add new production font
Click Browse > Fonts > Mark as production
Note: The Mark as production option is available to admin users only and is hidden to avoid any accidental clicks that may lead to an unintentional increase in your production font count.
You can also add a production font from My library, WhatTheFont page, font page, and family pages by clicking on the icon.
Once you add a new production font, you will get a confirmation message.
Click Mark as production to confirm your request.
Click Done to complete this action or Manage production font to open the Confirmed production fonts page from where you can manage your production fonts.
It is easy to identify a newly added production font with a New label.
How to submit the quarterly production font usage report?
The quarterly utilization report offers a detailed view of your users’ activities, including which users are accessing fonts, which fonts they’re accessing, and more. The reporting process helps you to ensure that your users are following existing licensing agreements.
You can submit your report within 21 days after the end of every quarter. There will be email messages and banner notification on the Monotype Fonts platform to remind you about this timeline. Ensure that you submit your report within this timeline.
If you are an admin user, use the following steps to submit your quarterly production font usage report:
Click Start reporting from the banner or email.
The Fonts for review page displays.
Check the Fonts for review section and ensure that you haven’t missed including any fonts from the production font report.
Click Reviewed. The Confirmed production fonts page (for the previous quarter) displays.
Click Submit report.
Click Submit to submit this report.
Once submitted, your report will be accessible from the Quarterly reports section of License dashboard. You (and all the company admins) will also receive the email message to notify about your quarterly report submission.

Why am I seeing the quarterly audit window?
At the end of every quarter, we have you report the current production font usage to ensure that we pay royalties to the foundries licensing their fonts through Monotype Fonts platform.
You can submit your report within 21 days after the end of every quarter. There will be email messages and these banner notifications on the Monotype Fonts platform to remind you about this timeline. Ensure that you submit your report within this timeline.
If you are seeing the quarterly audit window, it means that you need to submit your production font usage report for the previous quarter. Use the following steps to do that:
Click Start reporting to open the Fonts for review page.
Check the Fonts for review section and ensure that you haven’t missed including any fonts from the production font report.

What does inactive in production mean?
It means that the font was used as a production font for some time in that quarter, and after that it was removed from production fonts list. And once the report is submitted for that quarter (to report the use that occurred during that quarter), that font will be removed from the confirmed production fonts list.
Why am I seeing icon on the font style?
The icon shows that you have already marked this font style for production. Click on this icon to unmark the font from the quarterly list of production fonts.
What does unique font style mean?
A font style can be synced or downloaded many times by different users within your organization on different machines depending upon the terms and conditions mentioned in your contract. So, the Sync and download count for that font is more than one. However, the count of unique font styles explored will be one.
You can view the Syncs & downloads and Unique fonts explored on the License dashboard.
For example, if Helvetica Now is synced 10 times and downloaded one time, then the Syncs & downloads count will be 11. However, the unique font styles explored count will be one.
Does this beta version of font licensing support font swapping?
The beta version of font licensing does not support font swapping. However, this enhancement (font swapping) is considered for the upcoming font licensing releases.
What does Legacy workflow refer to in the Accepted by column of Confirmed production fonts tab?
The Accepted by column shows the name of user who has confirmed the usage of the corresponding production font. However, the production fonts also include the named fonts from your contract and production fonts from the previous quarter. Since no user was onboard at the time of adding these fonts to the digital workflow on Monotype Fonts platform , we have used the term Legacy workflow to refer to these instances.
What will be the Latest Activity for the production fonts that are marked as accepted by legacy workflow?
The Latest activity indicates the date when the production fonts marked through the legacy workflow were transitioned to the digital workflow used in the Monotype Fonts platform (added on the Monotype Fonts platform).

You might get an error while denying or accepting a production font due to low connectivity or some other technical issue. Click Deny or Accept to try accepting this production font again.

The color of the bar in the confirmed production fonts section of the License dashboard will change from blue to yellow, when you have used 75% to 95% of the total available quota (based on your subscription/contract) of production fonts for your account.
It means that you should review the production fonts usage again and start submitting the production fonts according to your requirement.
This timely information will help you plan and take necessary action on your production font usage (like font usage review, prioritizing font usage based on your subscription plan, or upgrading your subscription plan) .

Alert to show that you are very close to the expiry
The color of the bar in the confirmed production fonts section of the License dashboard will change from yellow to red, when you have used more than 95% of the total available quota (based on your subscription/contract) of production fonts for your account.
This means that you should immediately start reviewing and submitting the production fonts.
This timely information will help you plan and take necessary action on your production font usage (like font usage review, prioritizing font usage based on your subscription plan, or upgrading your subscription plan).
